Depending on the work you do you may use some more than others. The more familiar you get with using them the easier they are to remember.
Windows Keyboard Shortcuts

Windows logo key | Pressed on its’ own this key opens/closes the Start Menu |
Windows logo key + L | Quickly locks your computer screen – it is good practice to do this every time you step away from your computer. It keeps the contents of your screen and any company data private. It also allows you to easily switch users for logging on a different account. |

If you are working with 2 monitors this is a useful key to quickly move a window across to the other screen:
Win logo key + Shift key + Left/Right Arrow | Moves a window from 1 monitor to the other |
If you are working with several open applications
Keys to Press | Effect |
Alt key + Tab key | Moves you between open applications |
Windows logo key + number | If you have several applications open and press the Windows logo key + 5 this will bring the 5th open application to the forefront of your screen. |
Windows logo key + D | Displays the Desktop and back again to the active application. |
Windows logo key + M | Minimises the active application window. |
Win logo key + Shift key + M | Maximises the same application window again. |
Win logo key + Home key | Minimises all but the active application you are working on. |
Alt key + F4 key | Closes the active window. |
Windows logo key +E | Opens File Explorer for fast access to files. |
Ctrl key + mouse scroll | Changes the size and appearance of the files and folders. |

Microsoft Word Keyboard Shortcuts
Keys to Press | Effect |
Ctrl key + F | This opens the search menu, type in the term you want to find in your document, and this will highlight the occurrences of it in the document. |
F7 key | Runs spell check on the open document. |
Shift key + F7 key | Highlight a word in your document, press Shift and F7 key to open the thesaurus for this word. |
F5 key | Opens the find and replace box. |
F4 key | Pressing this repeats the last action |
Ctrl key + Y | This will redo an action. |
Ctrl key + Z | This will undo the last action. |
Shift key + Enter | Inserts a line break |
Ctrl key + Enter | Inserts a page break |
Tab key in last cell | Adds a row to a table |
If you have a word all lower case and want it all upper case
Ctrl + Shift + K | Highlight the word and press Ctrl, Shift and K to toggle between upper- and lower-case letters. |
Shift + F3 key | Highlight a word and press Shift and F3 key to toggle between Title Capital Letter, upper and lower case. |
Justifying
Ctrl key + E | Centres a word, line or paragraph |
Ctrl key + L | Left justifies a word, line or paragraph |
Ctrl key + R | Right justifies a word, line or paragraph |
Ctrl key + J | Justifies a paragraph |
Irish Words – If you have a word that needs a fada inserted over the vowel., the following keyboard shortcut is invaluable!
Alt Gr key + vowel | Hold down the Alt Gr key and press the vowel you want the fáda on to have it automatically inserted over your vowel. |
Useful keyboard shortcuts for moving around a document
Keys to Press | Effect |
Ctrl key + left/right arrow | Moves you back or forward a word in the document |
Shift key as well as Ctrl + left/right arrow | Enables you to select a full word to edit. |
Ctrl key + up/down arrow | Moves you up or down a paragraph in the document |
Shift key as well as Ctrl + arrow | Enables you to select a full line to edit. |
Ctrl key + End key | Moves you to end of document. |
Ctrl key + Home key | Moves you to start of document. |
Ctrl + C | Enables you to copy selected items in the open document. |
Ctrl + X | Enables you to cut selected items in the open document. |
Ctrl + V | Enables you to paste selected items either into another position in the current document or elsewhere to another open document or web page. |

Select All – Selects the entire contents of the document. |
Esc key | Cancels most selection options. |
If you are trying to select several different items from the document to perhaps make up a list or move several items from various documents to a new document the Office Clipboard is a very useful tool. It will hold 24 pieces of copied/clipped information maximum.
Ctrl + C do this twice To activate Office Clipboard highlight a word in your document and press Ctrl key and C twice quickly. The clipboard will open in the left side of screen. Continue to select and copy or cut text as needed. Then move to new area or document and Select All from the clipboard to put all text in new area or select in order you want to place in areas you want the text in.
Finally, if you want to flip the way your screen is displayed (or flip it back if it accidently is set upside-down!) the following keys are need to know!
CTRL, ALT + Left Arrow | Rotate the screen to portrait or upside-down landscape, by hitting CTRL + ALT + Left Arrow, Right Arrow or Down arrow. |
CTRL + ALT + Up Arrow | Should rotate it to display correctly again! |
Microsoft Excel Keyboard Shortcuts

F12 key | Will open the “Save As” dialog box. |
Ctrl key + W | Will close the workbook. |
Ctrl key + F2 | Opens the Print Preview menu |
F7 key | Will do a spell check on the worksheet. |
Bar Chart with one press of a button!
F11 (with data selected) | Select data and press F11 to immediately convert the data to a bar chart and displays it on another worksheet. |
Alt key + F1 (with data selected) | Select data and press Alt and F1 to display the data as a bar chart in the existing worksheet. |
Quickly get to areas of the Taskbar
Alt key + M | takes you to the Formula area of the taskbar. |
Alt key + A | takes you to the Data area of the taskbar. |
Applying Formats
Ctrl + Shift + $ | Apply currency format to the selected cells. |
Ctrl + Shift + % | Apply percentage format to the selected cells |
Moving around the Workbook
Ctrl key + right/left arrow | Moves you to furthest right or left cell with data. |
Ctrl key + up/down arrow | Moves you to top/end of sheet |
Tab key | Moves you one cell on |
Shift key + above | Holding down the shift key with the above actions allows you to select cells and rows as needed. |
